Logistics Invoicing Specialist
The Logistics Invoicing Specialist is responsible for ensuring accurate, timely freight invoicing while providing additional information to support logistics coordination activities. The position is also accountable for freight cost accuracy, invoice reconciliation, and financial compliance, along with shipment coordination and carrier communication. This role partners closely with Logistics, Accounting, and external carriers to support efficient and financially sound logistics operations.
Key Responsibilities
Logistics Invoicing & Financial Accountability
· Accountable for end‑to‑end processing of carrier and vendor freight invoices, ensuring accuracy, completeness, and on-time submission.
· Validate invoiced charges against rate agreements, quotes, and shipment data; identify and resolve discrepancies.
Enter freight charges, accessorial, and supporting data into ERP/TMS systems with a high level of accuracy.
Coordinate with carriers, forwarders, and internal teams to resolve billing issues, short pays, credits, and refunds.
Reconcile vendor statements and maintain clear audit trails and documentation.
Support accounting close, audits, and VAT‑related corrections tied to freight costs.
Maintain compliance with internal controls and financial policies related to transportation spend.
Logistics Coordination Support
Support coordination and tracking of domestic and international shipments as needed.
Communicate with carriers and freight forwarders regarding shipment status, documentation, and exceptions.
Assist with validation of shipment details to support accurate freight billing.
Support preparation and review of logistics documentation and small‑parcel shipping activities and other logistics tasks as needed.

Minimum Qualifications
Associate’s degree in business, Logistics, Supply Chain, or related field, or equivalent experience.
2+ years of experience in logistics invoicing, freight auditing, logistics coordination, or accounting support.
Working knowledge of freight rates, accessorial charges, and transportation documentation.
Knowledge of multi-currency transactions
Proficient in Microsoft Office applications, including PowerPoint, Word, Outlook, and Excel (pivot tables, VLOOKUPs)
Experience updating and maintaining data and spreadsheets
Experience using ERP/TMS systems
Strong attention to detail, organizational skills, and ability to manage multiple priorities.
Effective written and verbal communication skills with internal and external partners.
